HOA Bank Reconciliation
Why It Matters
The Payment
Nobody Applied.
Unreconciled deposits are how an association discovers in December that a payment in June was never applied to a unit. The owner has a cancelled check and the ledger has a delinquency, and the late fees in between were charged on a mistake. Matching on arrival is what stops that conversation from ever happening.
Automatic Matching
About 95% Matched
Before Anyone Looks.
Matching rules pair each bank line with the ledger entry it belongs to: a vendor payment to its bill, a fee to its account, a deposit to its invoice. Odoo publishes an automatic match rate of around 95%, and the feed means there is nothing to import first. The reconciliation is mostly done by the time you open it.
- Around 95% of lines matched automatically
- Live feeds through Plaid, or CSV, OFX and CAMT statement imports
- Matching rules you can tune per association
Automatic
Rules match most lines the moment they arrive.
No imports
The feed brings the statement; a file works where it does not.
Tunable
A rule for the bank fee, a rule for the payout, set once.

How collections workProcessor Payouts
One Deposit, Forty Owners,
Each Credited Today.
A payment processor pays out once for many owners. ResLife matches that single deposit back to the assessments that produced it, so each unit is credited on the day and the bank line still ties to the ledger. The processing fee is booked where it belongs, whether the association absorbed it or passed it on.
- Processor payouts matched to the assessments behind them
- Each unit credited on the day, not when someone reconciles
- Fees booked to the right account automatically

The One That Does Not Match
Is Tomorrow’s Task, Not December’s.
Whatever does not match is not left on a list. It appears on your Docket the day it arrives, with the most likely record already suggested, and it clears itself the moment it is resolved. The reconciliation report shows nothing older than the last time someone looked.
- Unmatched lines surfaced on the Docket the same day
- Likely match suggested; one click to confirm
- Nothing unreconciled older than today
Surfaced
On the worklist, not in a year-end report.
Suggested
The record it probably belongs to, already picked.
Cleared
Resolve it and the task removes itself.
What Changes
Close the Month
the Week It Ends.
When every line is matched on arrival, closing is reading, not hunting. The bank balance and the ledger balance are the same number, and the treasurer knows why.
Asked Before Reconciling.
How much of the reconciliation is automatic?
Most of it. Bank lines arrive through the feed or a statement import, and matching rules pair them with the ledger: Odoo publishes that around 95% of transactions match automatically. Payment-processor payouts are matched to the assessments that produced them, so a deposit of many owners’ payments still lands on each unit.
What happens to a transaction that does not match?
It becomes a task on your Docket the day it arrives, rather than a line on a year-end list. A deposit nobody can place, a payout short by one owner, a bank fee with no bill: each is surfaced as work with the record it most likely belongs to already suggested.
Which banks and statement formats does ResLife support?
Live feeds through Plaid, and statement imports in CSV, OFX and CAMT for any bank that provides a file. Odoo’s bank synchronisation covers more than 28,000 banks worldwide; where a bank of record needs its own connection, a custom integration is available upon request and approval.
How is this different from reconciling in a spreadsheet?
A spreadsheet reconciles two lists after the fact. ResLife matches as lines arrive, against the ledger that already holds the assessment, the vendor bill and the owner, so a mismatch is caught the week it happens. Nothing is discovered in December.
